Coworking Space Manager

FAR AI is seeking a highly organized and detail-oriented coworking space manager to oversee the daily operations of FAR Labs, our AI safety co-working hub.

About us

FAR AI is a technical AI research and education non-profit, dedicated to ensuring the safe development and deployment of frontier AI systems. FAR Labs is a coworking space in Downtown Berkeley that currently hosts approximately forty-five members working on AI safety (technical, strategy, and governance). Our members include nine organizations, as well as independent researchers. We expect to grow to 50-60 permanent members by the end of 2024, while also hosting additional guests and visiting scholars.

About the Role

The history of famous research is deeply intertwined with physical spaces such as Bell Labs, Xerox PARC and MIT’s Building 20.

Designing environments that foster great research, and balance researchers’ needs for deep focus and collaboration, is non-trivial. And, it is crucial to achieving FAR Labs’ goal of building a thriving ecosystem of AI safety researchers and organizations. We’re looking for a Coworking Space Manager who is excited about this goal, and wants to help run a coworking research center for AI safety.

You will report to the Director of FAR Labs and be responsible for managing the day-to-day operations of the office space, including:

  • Hosting office tours, running onboarding sessions, and managing our visitor programs.
  • Organizing and coordinating event logistics, including board meetings, workshops and events for up to 50 people.
  • Helping design the office layout and fitout.
  • Managing all office administrative tasks for the coworking space.
  • Providing a high level of customer service to all office members and addressing any concerns or issues in a timely and professional manner.
  • Managing contractor & vendor relationships, including cleaning, maintenance, catering, stationery, and consumables.
  • Developing and implementing office policies and procedures, such as meeting room booking systems, the office handbook and managing after hours access.

About You

You might be a great fit if you:

  • Care about building and maintaining great physical spaces. You have an appreciation for the ways in which the office environment affects productivity and shapes work outputs.
  • Have a solid understanding of how to run a ‘shared’ office space, including both long-term planning and the day-to-day. You can recommend courses of action to enhance the office environment, and articulate why this action will do so among competing priorities.
  • Have excellent organizational and communication skills, with a keen attention to detail.
  • Have excellent customer service skills, with a friendly and professional demeanor.
  • Possess 2+ years of experience (or equivalent) in office management, preferably in a coworking and/or shared office environment, or research environment.
  • Know your way around Google Workspace.

Logistics

You will be an employee of FAR AI, a 501(c)(3) research non-profit.

  • Location: Berkeley, CA, USA
  • Hours: Full-time (30 to 40 hours/week).
  • Compensation: $70,000 - $125,000 year* depending on experience and location. We will also pay for equipment expenses. We offer catered lunch and dinner at our offices in Berkeley. *For exceptional candidates with an outstanding track record we may be able to offer additional compensation.
